PA to General Groundcare Manager

& Sales Office Administrator

We have an exciting opportunity for an enthusiastic individual to join our team as a Groundcare Sales Office Administrator & Personal Assistant to the Groundcare Sales Manager at our Head Office, based in Ulting, Essex.

Role Purpose:

Reporting directly to the Groundcare General Sales Manager, you will be responsible for providing first class administrative service and support within the groundcare sales department, ordering process for all of our branches, maintaining effective and accurate communications between suppliers and members of staff.

Main Responsibilities/Requirements for Sales Office Administrator:

  • Processing equipment orders from Area Sales Managers
  • Using social media platforms to promote new and used Groundcare equipment in a suitable and timely manner
  • Processing manufacturers paperwork
  • Stock analysis and control of Groundcare equipment
  • Gain understanding of all areas in our sales processes for new and used Groundcare equipment
  • Excellent communication skills with the ability to deal with suppliers and colleagues in a polite and professional manner
  • Ability to learn quickly and take responsibility
  • Strong IT skills with knowledge of Social Media Platforms and Microsoft office including Excel and Word
  • Accuracy with numbers
  • Be organised with the ability to multitask efficiently
  • Ability to adhere to deadlines and company guidelines

Main Responsibilities/Requirements for Personal Assistant:

  • Provide administrative support for memos, letters, emails and minutes of meetings
  • Create monthly reports on commissions and bonuses staff throughout the company
  • High level of professional integrity
  • Running areas of the purchasing department reports
  • Develop superior communication between yourself and Managers, provide support when needed
  • Build relationships with our suppliers
  • Provide support to the Groundcare Sales Office team both internally and externally
  • Prepare letters and mail merge documents as and when required
  • Accurate reporting
  • Excellent communication skills with the ability to deal diplomatically with customers and managers in a polite and professional manner, both written and verbal
  • Have comprehensive and proven experience in a similar role, including minute taking
  • Be organised with the ability to multitask efficiently
  • A proven ability to remain calm under pressure in the workplace
  • Have a flexible and approachable manner
  • Be self-motivated with the ability to work well with others
  • Act with discretion when dealing with matters of a confidential nature
  • Must be proficient in Word and PowerPoint, with high level Excel skills
  • Good attention to detail
  • Professional and tidy appearance

Additional Information

  • Start Date:
    Immediate, but subject to successful candidates notice period
  • Hours:
    40hrs per week - 8am to 5pm, Monday to Friday (1hr unpaid lunch)
  • Salary:
    £Competitive, depending on experience
