PA to General Service Manager

We are looking for a PA to support the General Service Manager here at Head Office, based in Ulting, Essex.

Role Purpose:

Reporting directly to the General Service Manager (GSM), your role will be to support them in the day to day administration of the Service departments across all 21 sites. In addition, your role will be to offer assistance to the Warranty department as required.

Essential Skills/Experience:

  • Provide administrative support to the GSM for memos, letters, emails and minutes of meetings
  • Oversee the process for the recruitment of Service Apprentices for all branches, working with HR to receive CV’s and liaise with Service Managers and the Colleges
  • Maintain the CNH Dealer Portals and Web Academy with set ups, maintenance and updates relating to staff as well as other manufacturer platforms.
  • Develop superior communication between yourself, branch Service Managers and Service Administrators and provide support when needed
  • Prepare letters and mail merge documents as and when required
  • Organise and arrange courses, travel and hotels for both the GSM and Service staff, as required
  • Organise and update in-house training records in conjunction with the HR department
  • Assist the Warranty team when required
  • Ensure the GSM’s online calendar is properly updated and maintained, and book interviews/meetings where appropriate.
  • Excellent communication skills with the ability to deal diplomatically with customers and managers in a polite and professional manner, both written and verbal
  • Excellent telephone manner
  • Have comprehensive and proven experience in a similar role, including minute taking
  • Be organised with the ability to multitask efficiently
  • A proven ability to remain calm under pressure in the workplace
  • Have a flexible and approachable manner
  • Be self-motivated with the ability to work well with others
  • Act with discretion when dealing with matters of a confidential nature
  • Must be proficient in Excel, Word and PowerPoint
  • Attention to detail

Additional Information

  • Start Date:
    Immediate, subject to replacement of existing role if successful
  • Hours:
    40hrs per week – 8am to 5pm Monday to Friday (1hr unpaid lunch)
  • Salary:
    £Competitive, depending on experience
